Wedding planning Gantt chart: twelve months to the day
A wedding is a plan with one date that cannot move and a dozen bookings that each wait on another. The venue decides the date, the date decides the invitations, the numbers decide the catering. A Gantt chart turns that chain into dates, so you know which booking has to happen this month for everything after it to fit.
Start with the chain, not the checklist
Wedding checklists list everything by month. The trouble is that real plans do not start twelve months out, and when they start late the checklist does not say what to drop or squeeze. Dependencies do. Book the venue first, because nearly everything else waits on its date and its capacity.
- Set the budget and the guest-list size (they decide the venue)
- Book the venue: it fixes the date
- Book the suppliers that sell out: photographer, caterer, band or DJ
- Send save-the-dates once the date is fixed
- Order outfits early: fittings and alterations take months
- Send invitations, then wait for replies
- Confirm numbers with the caterer once the replies are in
- Seating plan, then the final details
- The wedding day: a milestone
Durations that catch people out
The long tasks in a wedding plan are rarely work; they are waiting. Outfit orders, alterations and invitation replies each take weeks during which you do nothing but wait, and they sit on the path to the day. Enter them as tasks with their real length, or as a lag on the link: "Send invitations", then wait 30 working days (six weeks) before "Confirm numbers".
Durations count working days, Monday to Friday, so convert weeks by multiplying by five: six weeks is 30.
Fix the date at the end
Add the wedding day as a milestone (duration 0) that depends on the last preparation task. If its scheduled date lands after your real date, the plan does not fit yet: shorten a task, overlap two (a start-to-start link), or move work earlier. Highlight the critical path to see which tasks have no room at all.
The budget is a different diagram
A Gantt chart answers when. Where the money goes, from the budget to the venue, catering, outfits and the rest, is better as a Sankey diagram, where each band is as wide as its share.

Frequently asked questions
How do I make a wedding planning timeline?
List each job with how long it takes and what it waits for, starting with the budget and venue. Add the wedding day as a milestone at the end. A Gantt chart tool works out every date, and shows if the plan does not fit.
What should be booked first for a wedding?
The venue, because the date, capacity and many suppliers depend on it. Then the suppliers that sell out early, such as the photographer and caterer.
